    1. Our commitment to privacy CaringWheels Limited (“CaringWheels”) knows that protecting the privacy and confidentiality of your personal information is important. CaringWheels shall therefore only use your name and other information that relates to you in the manner set out in this Privacy Policy. CaringWheels will only collect information where it is necessary for CaringWheels to do so and if it is relevant to CaringWheels’ dealings with you, in the manner set out in this Privacy Policy. CaringWheels will only keep your information for as long as CaringWheels is either required to by law or as is relevant for the purposes for which it was collected. The collection, use and disclosure of personal information (see Clause 2.1 for a definition) by CaringWheels are governed by the Personal Data Protection Act 2012 (the “PDPA”). This Privacy Policy explains what personal information is collected from users of CaringWheels’ website (https://www.caringwheels.limited) (the “Website”) and services and how such personal information is used and disclosed to other parties. It also explains how you can ask questions, make suggestions, and complain about CaringWheels’ privacy practices. This Privacy Policy applies to personal information collected by CaringWheels. Note that CaringWheels may contain links to other websites provided and maintained exclusively by third parties not subject to this Privacy Policy. CaringWheels will not be liable under any circumstances for any damages whatsoever, direct or indirect, resulting from any use of CaringWheels or any other third party website linked to CaringWheels, whether or not CaringWheels is advised of the possibility of such damages. By submitting your personal information to CaringWheels and by visiting CaringWheels, you signify your agreement to the terms and conditions of this Privacy Policy, and expressly consent to the collection, use and disclosure of your personal information in the manner and for the purposes set out in this Privacy Policy. What is personal information? “Personal information” refers to data, whether true or not, about an individual who can be identified (a) from that data; or (b) from that data and other information to which the organisation has or is likely to have access, whether stored in electronic or non-electronic form. “Personal information” does not include the name, title, business address or telephone number of an employee of an organisation. Information used solely for journalistic purposes is exempted from PDPA. 3. What personal information does CaringWheels collect, and why? CaringWheels collects your personal information for specific, limited purposes in a fair and lawful manner, as set out here in Clause 3. a. CaringWheels collects contact information (for example, name, address, email address, and telephone numbers) when you register at our Website. This information is used to complete your CaringWheels bookings and respond to your inquiries. b. CaringWheels also collects credit card and bank account information as needed to process payments for CaringWheels’ services. CaringWheels does not permanently store your credit card and bank account information. c. If you enter other promotions, CaringWheels collects your personal contact information to administer the promotion, including for the purposes of contacting, announcing and promoting prize winners. d. CaringWheels collects booking history offered to you (“History”) in order to gain a better understanding of your interests so that CaringWheels may develop better services and to determine eligibility for CaringWheels’ services. e. CaringWheels keeps notes and special instructions in respect of your personal information on file to help CaringWheels fulfill your care service requirements and care bookings, and provide customer service. f. CaringWheels also collects your personal information to help CaringWheels improve the services provided by CaringWheels (including the types of services offered by CaringWheels, the quality of the service providers used to provide the services, CaringWheels’ internal care operations, customer service and support, and outreach services). g. If you wish to apply for a job on our Website, CaringWheels will collect personal information such as your name, email address, phone number and additional information such as resume and gender. CaringWheels uses the information, collected through our Website to register and process your application, to determine your qualifications for the position for which you have applied and to contact you. h. If you choose to opt out of any use of your personal information in accordance with Clause 6, CaringWheels keeps your contact information on a list so that your request can be honoured. i. If you complain to any of CaringWheels’ departments for any reason, CaringWheels collects your contact information and the nature of your complaint for the purpose of investigating your complaint and responding to you. j. If you are a service provider, CaringWheels collects your personal and/or business identification details for tax reporting purposes and your contact information in order to pay you through CaringWheels’ third-party payment agent. CaringWheels may also collect financial information (for example, banking details and credit history) from CaringWheels’ service providers to assess credit risk, sales data to prepare commission reports and other information to help CaringWheels evaluate its services. k. Additional purposes for the collection, use or disclosure of personal information, which are not set out in this Privacy Policy, will be set out at the time of collection. CaringWheels will obtain your consent to such additional purposes no later than at the time of such collection. l. Collection of Computer Data: CaringWheels may use cookies, web beacons, and other similar technologies for storing information to help provide you with a better, faster, safer and personalised experience when you use CaringWheels’ services. When you visit CaringWhees’ website, CaringWheels’ servers will automatically record information that your browser sends whenever you visit a website. This data may include: i. your computer’s IP address; ii. browser type; iii. webpage you were visiting before you came to CaringWheels’ website; iv. the pages within CaringWheels’ website which you visit; and v. the time spent on those pages, items and information searched for on CaringWheels’ website, access times and dates, and other statistics. This information is collected for analysis and evaluation in order to help CaringWheels improve CaringWheels’ website and the services and products CaringWheels provides. Internet Cookies: An internet cookie is a small piece of information that a website stores on your internet browser. CaringWheels uses cookies to better understand how you use CaringWheels’ website and to improve your experience. For example, a cookie may recall a set of preferences you have set for CaringWheels’ website. Storing cookies on your web browser allows CaringWheels to present you with custom web pages and other content that are tuned with your preferences. These activities are invisible to you, and are generally intended to improve your internet surfing convenience. Unless you have set your preferences so that you will be alerted when a cookie is being stored on your computer, you will not know about it. If you are concerned about cookies, you may disable them by adjusting the privacy and security settings of your mobile device or web browser. However, please be aware that by disabling cookies, you may not be able to use all portions of CaringWheels’ website and may not have the optimal experience. If you sign up for CaringWheels through your social media account or by linking your CaringWheels account to your social media account, or use certain other CaringWheels social media features, but in any case give CaringWheels authorisation to access your personal information on your social media account, you expressly consent for CaringWheels to collect, use and disclose such personal information from your social media account in accordance with the settings of your authorisations for the purposes set out in this Privacy Policy. CaringWheels will manage the personal information which Homage has collected in accordance with this Privacy Policy. Please refer to the privacy settings of the social media website or application to determine how you may adjust your authorisations and manage the interactivity between CaringWheels and your social media account or your mobile device. CaringWheels may place advertising or other links on any of the Platforms that originate from outside advertisers. If you view these advertisements, the advertisers may assign a cookie. CaringWheels does not control these cookies, nor is it responsible for any marketing or other use of your name by these advertisers. 4. Market Research Occasionally, CaringWheels asks its users to complete market research surveys. Survey results are aggregated and shared with CaringWheels’ advertisers, sponsors and related corporations in a manner that does not disclose personal information. 5. To whom does CaringWheels disclose personal information, and why? CaringWheels may use or disclose your personal information under the following circumstances: a. CaringWheels may use the contact information and History collected from you to send you promotional offers and information from CaringWheels, its related corporations and from selected sponsors or advertisers (“Marketing Offers”). CaringWheels may disclose your personal contact information to related corporations and selected sponsors and advertisers in order to provide you with Marketing Offers. If you do not wish to receive Marketing Offers, you may opt out at any time by following the procedure set out in Clause 6. b. CaringWheels may transfer your personal information to service providers acting on its behalf in order to perform processing and other specialised services, for example, collection of overdue accounts, service delivery, credit card or bank transfer processing. c. CaringWheels may disclose your personal information to any legal, regulatory, governmental, tax, law enforcement or other authorities or the relevant right owners pursuant to Clause 13. d. CaringWheels may disclose your personal information to parties connected with the contemplated or actual financing, insuring, sale, assignment or other disposal of all or part of its business or assets, including for the purposes of determining whether to proceed or continue with such transaction or business relationship or fulfilling any records or other reporting requirements to such parties. CaringWheels will require such parties to treat your personal information in accordance with this Privacy Policy and to use and disclose it only for the purposes for which it was collected. 2. In disclosing or transferring your personal information to third parties and/or CaringWheels’ related corporations located overseas, CaringWheels will ensure that the receiving jurisdiction has in place a standard of protection accorded to personal information that is comparable to the protection under or up to the standard of PDPA. 6. Withdrawal of Consent and Opting Out CaringWheels will obtain your express consent to collect, use and disclose your personal information for any additional purposes not set out in this Privacy Policy at or prior to the time of collection. You may, at any time, withdraw your consent to and opt out of CaringWheels’ collection, use and/or disclosure of your personal information for any the purposes set out in Clauses 3, 4, and/or 5 by contacting CaringWheels at its email address set out in Clause 14.3 below. Please note that if you opt out of allowing CaringWheels to collect, use and/or disclose your personal information for any of the purposes set out in this Privacy Policy, CaringWheels may not be in a position to continue to provide CaringWheels’ services to you or perform any contract CaringWheels has with you. CaringWheels' rights and remedies (legal or otherwise) are expressly reserved in such an event. If you do not wish to receive Marketing Offers, you may opt out at any time by doing any of the following: a. follow the instructions at the bottom of any email Marketing Offer you receive; b. inform your telemarketer at the time you are called with a Marketing Offer; or c. email Client Services at support@caringwheels.limited and request that your personal information not be used for Marketing Offers. 7. Security of Your Personal Information CaringWheels maintains personal information in a combination of paper and electronic files. CaringWheels takes technical, contractual, administrative and physical security measures to protect your personal information. Not all CaringWheels interactions require that credit card and/or bank information be provided. If you provide credit card and/or bank account information to CaringWheels, CaringWheels works to help protect the security of your credit card and/or bank account information by using industry standard secure sockets layer (SSL) encryption technology. Please be aware that email is not a secure medium, and any personal information you send to CaringWheels by email could be intercepted. If you are communicating sensitive information such as your credit card number and/or bank account information, you should not send it electronically unless the email is encrypted or your browser indicates that the access to CaringWheels’ website is secure. Materials posted to online forums such as bulletin boards or chat rooms are public, not secure and may be viewed by anyone. Any personal information you post may be collected and used by anyone and may result in unsolicited messages from other internet users. If you believe your privacy has been breached by CaringWheels, please contact CaringWheels at support@caringwheels.limited. Your password is the key to your account. Please use unique numbers, letters and special characters, and do not share your CaringWheels password with anyone. If you do share your password with others, you will be responsible for all actions taken in the name of your account and the consequences. If you lose control of your password, you may lose substantial control over your personal information and other information submitted to CaringWheels. You could also be subject to legally binding actions taken on your behalf. 8. No Spam, Spyware, or Virus No spam, spyware or virus is allowed on our Website. Please set and maintain your communication preferences so that CaringWheels sends communications to you as you prefer. You are not licensed or otherwise allowed to add other users to your mailing list (email or physical mail) without express consent. You should not send any messages which contain any spam, spyware or virus via CaringWheels. If you would like to report any suspicious messages, please contact CaringWheels at its email address set out in Clause 14.3 below. 9. How to access and correct your personal information CaringWheels provides you with the means to access, update, edit or delete certain subscriber and registration information you have provided at any time by going to the appropriate location at our Website, and changing or deleting such information as desired You undertake to treat your CaringWheels username, password and order details as confidential information and undertake not to make them available to unauthorised third parties. CaringWheels cannot assume any liability for misuse of your CaringWheels username, password or order details, except as stated in the Terms of Use. If you would like to view the personal information CaringWheels has on you or inquire about the ways in which your personal information has been or may have been used or disclosed by CaringWheels within the past year, please contact CaringWheels at its email address set out in Clause 14.3 below. CaringWheels reserves the right to charge a reasonable administrative fee for retrieving your personal information records. If you want to close your account or have other questions or requests, please contact CaringWheels. While CaringWheels is ready to assist you in closing your account, and removing your active profile, CaringWheels cannot always delete records of past interactions and transactions. For example, CaringWheels is required to retain certain records pertaining to previous bookings on its website for financial reporting and compliance reasons. CaringWheels will give you access to the information CaringWheels retains about you within a reasonable time, upon written request, satisfactory identification and proof of entitlement. In some cases, CaringWheels may not provide access to personal information in CaringWheels’ possession or control. If CaringWheels denies your request, CaringWheels will advise you in writing of the reason for the refusal and you may challenge CaringWheels’ decision. 10. Do-Not-Call Privacy Statement CaringWheels takes its responsibility to protect the information you provide to CaringWheels very seriously. From time to time, CaringWheels and its partners may call or SMS its users to inform them about its latest services or promotional offers. CaringWheels will only call or SMS you after (i) ascertaining that you have not registered with the national DNC Registry administered by the Personal Data Protection Commission of Singapore and (ii) having obtained your clear and unambiguous consent for CaringWheels and/or its partners to call or SMS you about its latest services or promotional offers (including Marketing Offers). If you no longer wish to receive marketing calls or messages, you may withdraw your consent by contacting CaringWheels at its email address set out in Clause 14.3 below. However, as CaringWheels may rely on the one-month validity period of its search results from the DNC Registry, you may inadvertently still receive marketing or promotional messages/calls. If you have received a telemarketing call from someone representing Homage although you have registered with the DNC Registry or withdrawn your consent, please inform CaringWheels at support@caringwheels.limited. 11. General Provisions You must only submit to CaringWheels, or CaringWheels’ authorised agent, information which is accurate and not misleading and you must keep up to date and inform CaringWheels of any changes to such information. CaringWheels reserves the right to request for documentation to verify the information provided by you. By sharing the personal information of any third party with CaringWheels, you expressly represent and warrant to CaringWheels that you have obtained all required consents from the relevant third party to disclose and transfer his/her personal information to CaringWheels and for CaringWheels to collect, use and disclose such personal information for the purposes set out in this Privacy Policy. You agree to indemnify CaringWheels against any and all claims, losses, and damages arising from or in connection with any third party claims as a result of CaringWheels’ collection, use or disclosure of such personal information. CaringWheels may disclose or share non-personally identifiable information with partners, advertisers, current in-home personal care businesses and/or prospective in-home personal care businesses to help explain its business and the effectiveness of CaringWheels’ business or for promotional purposes. For example, CaringWheels may disclose aggregated demographic information which does not include any personally identifiable information. 12. Changes to the Privacy Policy CaringWheels shall regularly review the sufficiency of this Privacy Policy. CaringWheels reserves the right to modify and change the Privacy Policy at any time. Any changes to this policy will be published on https://www.caringwheels.sg/privacy/. 13. CaringWheels’ Right You acknowledge and agree that CaringWheels has the right to disclose your personal information to any legal, regulatory, governmental, tax, law enforcement or other authorities or the relevant right owners, if CaringWheels has reasonable grounds to believe that disclosure of your personal information is necessary for the purpose of meeting any obligations, requirements or arrangements, whether voluntary or mandatory, as a result of cooperating with an order, an investigation and/or a request of any nature by such parties. To the extent permissible by applicable law, you agree not to take any action and/or you hereby waive your rights to take any action against CaringWheels for the disclosure of your personal information in these circumstances. 14. How to challenge CaringWheels’ privacy practices CaringWheels encourages you to contact CaringWheels with any questions or concerns you have about CaringWheels’ privacy practices or this Privacy Policy.   • Board Governance
    Caringwheels Limited (CWL) is incorporated on 23rd September 2021 as a company limited by guarantee, to be governed by a board of volunteer directors (“the Board”). The Board has the responsibility and powers for ensuring that the operations of CWL are carried out in accordance with the provisions of its Constitution and to comply with the guidelines laid down in the Code of Governance for all registered charities and Institutions of a Public Character (IPCs) in Singapore. The Board is committed to keeping abreast of all legal regulations and to uphold robust governance standards and processes. Board Roles & Responsibilities CWL’s vision is for every unpaid caregiver in Singapore to be recognized and valued. CWL’s mission is to focus on providing respite solutions to caregivers and to ensure that they have access to quality support services that will serve their needs and wellbeing. In addition to caregivers, the other group of beneficiaries will be the career transitioners who are young seniors that will be given some form of monetary benefits from being part of the support system for caregivers. The Board is responsible for directing the affairs of CWL to serve its mission and to deliver the following objectives: a. To assist and organize such forms of relief and community support to alleviate distress of caregivers from the less privileged socio-economic sectors of Singapore, regardless of race or religion. b. To provide effective respite solutions for caregivers by analyzing their needs and developing strategies and activities for their wellbeing. c. To provide a network and promote a community for the caregivers so that they can be supported in their caring journey. d. To initiate and assist seniors who are career transitioners with income opportunities from providing support to the caregivers. e. To promote and raise public awareness of the need to provide care and concern for the less fortunate caregivers in Singapore. f. To encourage companies and the public to volunteer their time or make donations towards the support and care of caregivers. g. To further any other exclusively charitable objects in Singapore as the Board may agree from time to time. h. To do all such other things necessary for, incidental or conducive to the achievement of CWL mission and objectives, and that nothing shall be done for commercial reasons or solely for profit, where such profits are not used to further the CWL’s mission and objects. 1.1 Strategic Planning The Board shall periodically meet, at least once a year, for a review of CWL’s strategic plan to ensure that CWL carries out its operations and activities to achieve the charitable purposes as stated in its Constitution. The Board will approve an annual plan and budget to ensure that it is aligned with CWL’s vision and mission and that adequate financial and human resources for available for the long-term sustainability of CWL as a charitable organization. Board Structure and Management Committees The Board will comprise of at least 5 directors, of which one will be appointed as Chairman of the Board and co-chairman may also be appointed, as the directors think fit. The Board is tasked with establishing infrastructural management committees, with documented terms of reference to assist with CWL’s governance and programmes. Both the Board and its management committees are collectively responsible for achieving CWL’s charitable objectives with clear strategic leadership and ensuring effective management of CWL in compliance with all relevant laws and regulations. The management committees shall comprise of the following: Nomination Committee Audit & Risk Committee Finance Committee Fundraising & Grants Committee IT Security &Digitalization Committee Services & Programmes Committee Human Resource & Volunteer Committee Special Projects Committee Each of the management committees shall be chaired by a Board member. Each Board member may chair more than one management committee. However, the chair of the Audit & Risk Committee shall not concurrently chair the Finance & Treasury Committee. 2.1 Eligibility & Appointment The Board of Directors must meet the following criteria for appointment: Be at least 18 years old. Has not been disqualified by ACRA from acting as a director. Not an undischarged bankrupt under section 148(1) of the Singapore Companies Act 1967. Not convicted of an offence involving dishonesty or terrorism, terrorism financing, money laundering and the conviction is not spent. Not been removed by the Commission of Charities from any capacity following an inquiry. Staff members of CWL may be appointed to the Board but may not add up to more than one third of the Board composite. To ensure independence of the Board, the staff member shall be appointed on the following basis: Appointments are nominated by the Appointment & Nomination Committee in compliance with CWL’s Constitution and Charity Act. Must not be appointed as the chair of the Board. Must not be involved in setting his/her own remuneration either directly or indirectly. 2.2 Term Limit for Appointment Board members must submit for reappointment, once every 3 years, at the Annual General Meeting. The maximum term limit for all Board members is 10 consecutive years and following this term limit, members may be reappointed after a break of at least two years. The maximum term limit for the Treasurer is 4 consecutive years. If the Treasurer leaves the position before the end of the term, for example, after 2 years and then rejoin CWL as Treasurer a year later, the reappointment will only be for the remaining 2 years. 3. Conflict of Interest Board members, committee members and staff are required to act in the best interest of CWL. Clear policies and procedures shall be formulated to prevent and address any situations of conflict of interest that could affect the integrity, fairness and accountability of CWL. CWL is aware of the importance of, and the risk factors and issues associated with ESG factors and requires its Board members to maintain a supportive culture that reflects its ethics, fairness and integrity. CWL requires all Board members, committee members and key management executives to submit a “Conflict of Interest Declaration” form annually to the Board to provide a disclosure of their interests in all other organizations in which they are directors or have management control or have a substantial shareholder or monetary benefits to the Board at the time of their appointment. Such disclosures shall be circulated to all Board members and any potential conflict of interests documented and addressed. Furthermore, all Board members, committee members and staff are required to submit “Conflict of Interest Notification” form to the Board immediately when such conflict or the possibility of such conflict arises. Conflict of Interest Declaration form has to be submitted for Management review for any related party transactions and the outcome of the review be reported to the Board and documented. Any appointment of key personnel who is a close member of the family of a Board member should make a declaration of such relationships with the Human Resource for Board review and clearance, the upon joining CWL. 4. Financial Management and Controls CWL is a charity organization providing respite solutions and services for caregivers. As the major source of income for its operations comes from donations, CWL has systems in place for sound financial management and internal controls to manage risks and ensure that the objectives of CWL are continually supported through the proper and legitimate use of its resources. CWL is focused on long term sustainability goals through the implementation of the following systems and procedures: 4.1 Budget Planning and Review The annual budget for CWL’s planned activities must be prepared and submitted for Board approval before the start of the new financial year. At mid-year, a review of the annual budget shall be carried out and explanations be provided to the Board when there are significant variances between the budget and actual expenditures. 4.2 Internal and Operational Controls CWL shall ensure that control systems and financial management policies are in place with documented procedures in respect of operational and financial controls to ensure that its resources are used legitimately and responsibly. The systems and policies will cover the following: Tender and quotation procedures for major expense items Payment management procedures, with joint signatories (2 signatures) System for delegation of authority and limits of approval. Donations and receipting management Management of fixed assets – acquisitions and disposals Management of fund-raisers and fund-raising activities Cashflow management and reporting procedures. Programme Management procedures. HR management and recruitment processes System for recruitment and management of volunteers Review and monitoring system for legal and statutory compliances. Review and monitoring system for risk management. 4.3 Anti-Money Laundering CWL strives to take preventive measures against money laundering activities with proper accounting and internal control procedures. Donors may be required to go through our Know Your Donor checks, when the donation is above S$10,000 in Cash. 5. Disclosure and Transparency As CWL is solely dependent on public support through donations and the engagement of volunteers, it is committed to having a culture of transparency in its operations and maintaining a high standard of integrity, openness and accountability. CWL will utilize its resources to effectively communicate to the public on the use of charity funds and provide assurance to its donors and stakeholders that the charity has been managed responsibly. 5.1 Reporting and Disclosure CWL shall make available to the public and its stakeholders an annual report on the charity’s activities, audited financial statements and a listing of its governing Board and key management executives. Audited financial statements shall be tabled at the Annual General Meeting. Although Board members shall not receive any remuneration. Any benefits received by individual Board members shall be disclosed in its Annual Report. Furthermore, CWL will disclose the total remuneration for each of its 3 highest paid staff who receives remuneration exceeding S$100,000 per annum. If none of its 3 highest paid staff receives remuneration of more that S$100,000 per annum, CWL will also disclose this fact. CWL will disclose the dates of appointment of its key management executives, along with a brief introductory profile on past job experiences, in the Annual Report and relevant websites. 5.2 Whistleblowing CWL believes that the integrity and honesty of the Board, its committee members and staff in carrying out their roles and responsibilities are crucial to maintaining the high standards of governance and ensuring legal obligations have been consistently complied with. CWL’s whistleblowing policy aims to provide a means through which the volunteers, donors and the public could raise legitimate concerns about any serious wrongdoing and malpractices (such as fraud, lapse in controls and ethics). Every effort shall be made to protect the whistleblower’s identity which shall remain confidential unless disclosure is required by law. In which case, disclosure shall be made with consent, and to the extent necessary and only to such persons on a need- to-know basis. 6. Public and Corporate Communication CWL shall consistently maintain a positive and accurate image that represents the interests of its stakeholders and ultimate beneficiaries so as to instil confidence and trust in the charity, with the donors, volunteers and the public. CWL shall regularly communicate its mission, activities, programmes to stakeholders and the public and respond readily to requests for such information. The Board shall ensure that there are procedures relating to the releasing of information about CWL and its activities to the media, its stakeholders and the public. The Chairman or Co-chair shall be the designated spokesperson(s) for CWL. However, for specific matters, the Board may also appoint/designate another appropriate Board member or staff as the official spokesperson. 7. Board Meetings The Board will meet regularly to discuss matters arising from the various management committees. 7.1 Frequency of Meetings Board meetings will be at least six (6) times in a calendar year. 7.2 Quorum The quorum required for the Board Meeting shall be three (3) at the time of the meeting. 7.3 Proceeding The Chairman of the Board will also be the Chair of the Board meeting unless he/she is absent then the Board members will elect a member to lead the meeting as Chair of the meeting. Meetings shall be minuted and circulated to all Board members within 14 business days, from the date of the meeting. Minutes as be confirmed by the Board Members will be approved and signed by the Chair of the meeting at which the proceedings were held or by the Chair of the next succeeding meeting. 7.4 Attendance All Board members shall make every effort to attend every Board meeting during their tenure.
  • Code of Conduct for Service Providers & Volunteers
    When you’re caring for people in their own homes, it’s not just the service user’s personal rights that need to be considered–the same level of respect should be used when it comes to their home, too. As a Service Provider/Volunteer, your conduct reflects CaringWheels’ professionalism. Hence, it is crucial that all Service Providers follow strictly to our agreed code of conduct to ensure your high quality service with dignified morals and beliefs in the way you carry out your duties Here, “Service Providers” are the hired professionals (including volunteers) from CaringWheels providing services, “Service Users” are the family carers, and “Patient” is the person requiring assistance in daily living Behaviour: Service Providers should not smoke in service users’ homes. No consumption of alcohol is allowed while on duty. Service Providers cannot bring in another person into a service user’s home. If you feel that your circumstances are exceptional, please seek written permission from CaringWheels. Service Providers shouldn’t be in the home of the service user without the latter, or their representative, being present, unless written permission is given by the service user. this would be deemed as trespassing. Dress Code: 1. Service Providers should dress smartly and appropriately for the visit. No ripped jeans No revealing tops such as spaghetti straps No attire with profanities No large tattoos 2. Refrain from wearing perfume or deodorant. 3. Adhere to strict personal hygiene and wear a mask at all times. 4. Use disposable gloves and aprons for personal care work. Identity cards: All Service Providers should carry ID cards and show them before entering a service user’s home. a. The service user has the right to refuse entry if an ID card can’t be shown and, if this is the case, disciplinary action can be taken. Time keeping: Punctuality is essential in the line or providing service. a. All Service Providers are expected to stick to the appointment times and duration as per requested. b. There will be a penalty fee incurred for latecoming. Gifts: Service Providers should refrain from accepting gifts of any kind from service users. a. Should the service user insist, please contact us about the situation. Medication: All Service Providers should adhere to the stipulated timings of medications and give the right medications timely. Property: Service Providers and service users must not buy or sell items to one another, nor should service providers arrange a sale of an item on behalf of a service user to anyone they know. a. This also applies for borrowing property (including cars, garden equipment and computers) unless requested by service users. Financial matters: Service Providers should never agree to being involved in a service user’s will, whether that be as a signatory, beneficiary or executor. a. Written approval must be given by CaringWheels should you be required to act in any official capacity for the patient. 2. Money should not be borrowed or lent between Service Providers and service users. a. There may be certain financial transactions which need to be carried out by a Service Provider as part of a service user’s care plan or for the patient’s welfare, however, no transactions should be undertaken other than those that are specified. Personal relationships: While it is important to build good rapport between Service Providers and service users, it is equally important to respect boundaries too. Off duty behaviour: Service users have entrusted us with personal information and circumstances. Hence, respect them and refrain from sharing about your service users’ situation to others and ensure anonymity and confidentiality. Unless you’ve given them written permission, Service Providers must not visit service users outside of working duties. Paperwork must be stored securely and out of sight. This is especially important when paperwork has been taken home by a Service Provider.
